Configuring Exchange Integration With Barracuda Message Archiver

Scope:
All Barracuda Message Archivers in use with an Exchange server, firmware versions 2.1.0.XXX and above.

Answer:
When setting up a Barracuda Message Archiver to work with a Microsoft Exchange server, it is possible to import or stub all of your existing emails from the Exchange server to be archived on the Barracuda automatically. To do this, navigate to the Mail Sources > Exchange Integration page of the Barracuda Message Archiver's web interface.

To import or stub your existing mail, you will need to specify the following options:

Exchange Integration
• Server - The Microsoft Exchange server from which to import or stub. You may specify a hostname or domain name (provided your DNS server will properly resolve these names), or an IP address.
• Username - An account with permissions to access the desired user(s). This account must be a Domain Administrator for the domain(s) you wish to act on. Please note that an Exchange Administrator account is not necessarily a Domain Administrator account.
• Password - The password for the specified authorized account.
• Domain - The domain for the authorized account specified above. This must be the Exchange domain (which is not necessarily the same as the DNS domain). For example, the Exchange domain for users at abc.com may actually be abc.local. This domain must resolve to an IP address; if the Barracuda Message Archiver is having trouble trying to resolve the specified domain, you could try specifying the DNS server (on the Basic > IP Configuration page) to be one of your Windows domain controllers
Advanced Options
• Enable RPC over HTTP - Select this option if you require the use of an RPC over HTTP service. This service may be referred to as the RoH service. These options should mirror those on your Exchange server when setting up RoH.
o Proxy Server - Enter the hostname of the server that hosts the RoH service
o Authentication Type - Select NTLM if the RoH server requires it, otherwise the authetication method is "Basic".
o SSL Only - Enable this option if connection to the server hosting th RoH service requires an SSL connection.
o Use HTTPS First - Select the same option you used when setting up your RoH service.

Source
Here you may select which items to import onto the Barracuda Message Archiver. On source types that you are required to enter a query, you may use an asterisk (*) as a wildcard. For example, you may select all users who last name begins with the letter 'L' by setting the Source to Users -> First/Last Name, and enterring 'L*' into the Last Name field.
• Public Folders - Select this option to act on all of the public folders avalailable to the administrative user on the Exchange server. Note that this will not make those messages publicly available on the Barracuda Message Archiver. Only the sender and recipients will be able to view the messages once they are imported.
• Distribution Lists - Select this option to stub or import all mail sent to the specified distribution list on to the Barracuda Message Archiver.
• Users - You may select a subset of users who you wish to act on, or the entire corpus of available users. This is the default use of the Exchange Integration page
o All Users - Import or stub all users' mail onto the Barracuda Message Archiver.
o First/Last Name - Act on only users matching the first/last name query. You may specify a single one of these fields, or both.
o Email Address - Acts on mail from email addresses matching the provided query.
• Folders - You may specify which folders from the matching users to stub or import onto the Barracuda Message Archiver.
o All - Imports or stubs all folders.
o Inbox - Imports or stubs items from the Inbox folder
o Sent Items - Imports or stubs items from the Sent Items folder
o Deleted Items - Imports or stubs items from the Deleted Items folder.
• Restrictions - You may place restrictions on the items acted on by an import or stubbing job.
o Home Server - Restrict the query to messages residing on a message store on the specified server.
o Minimum Size (KB) - Restrict the action to messages that are smaller than this size, in kilobytes.
o Maximum Size (KB) - Restrict the action to messages that are larger than this size, in kilobytes.
Import
Importing brings all items matching the source filter from the specified server onto the Barracuda Message Archiver for processing. You may additionally set a date filter you wish to use to limit which messages are pulled in. Select a date from the calendar widget, and then select if you would like messages "Before"(Older than) or "After"(Newer than) the date selected.

Stubbing
Stubbing is the process of scanning an Exchange server for mail containing attachements, and then if the mail meets the criteria specified, the message is pulled onto the Barracuda Message Archiver and is replaced with a link to the location where the message can be retrieved.
• Schedule - Stubbing can be used as a one-time job, or it can be set to run every night. If you wish to run it as a one-time job, select Now from the radio list. To set up stubbing as a recurring, nightly job, selectNightly.
Actions
• Begin Exchange Action - Starts the Exchange action process.
• Simulate Exchange Action - Selecting this will start a process that will act exactly as beginning the action, but will not actually do anything. Instead, it will tell you what it would have done if it was actually run. This process is sometimes referred to as a "dry-run" or "test run".
Additional Notes:
The Exchange Import feature will not work with disabled user accounts (you should temporarily enable them in Exchange to import their email). If users are hidden from the "Global Address List (GAL)" in Exchange, their emails will not be able to be imported either (you will need to temporarily unhide them to import their email).
